Mail items are opened and digitized in our central mailroom. This will not be done if you have expressly marked your item as "private", "personal" or in another suitable way as only to be opened by the personally named addressee. Please bear in mind that in such a case your request can only be processed if the designated person is also in the building. In the event of vacation or illness, your letter will then remain unopened.

Our telephone system also saves missed calls unless you have suppressed call forwarding. Your telephone number can be viewed by the extension called for three months. We use multifunction devices to receive fax transmissions. These have an internal memory that can be read with a corresponding device. The storage of your sender ID depends on the memory capacity - when this memory is full, the oldest data is overwritten with the new data. This is necessary for recovery in the event of a device malfunction. Our mail system stores your sender data in the recipient's mailbox. We ask you to preferably use "functional mailboxes" as the addressee. On the one hand, this ensures that your request can be processed even if the person actually responsible is absent. Secondly, the use of functional mailboxes ensures that the data is archived after 90 days and finally deleted after three years at the latest. But don't worry about loss: the data that is added to a file is only deleted when that file is destroyed. This depends on the legal retention period for the respective process.

Depending on the context, your data may be passed on to third parties under strict conditions. The GDPR grants you the right to demand that we correct incorrect data. You have the right to know which of your data we are processing. The GDPR also gives you the right to erasure or restriction of processing, the right to object to processing and the right to data portability. However, each of these rights is subject to conditions. Our data protection officer will be happy to advise you on how to assert these rights.

We process your data with the utmost care and confidentiality. Should you nevertheless have reason to complain about the data processing carried out by the city administration, you can do so with any data protection authority in the European Union.
